Title: Secretary to the Ambassador

Key responsibilities include:


  • Maintain scheduling and event calendars
    • Prepare the daily/weekly/monthly agenda
    • Arrange appointments and meetings
    • Ensure that invitations are responded to in a timely manner
  • Compose routine correspondence
    • Compose internal minutes to staff
    • Compose memoranda to the Ministry of Foreign Affairs
    • Compose all other correspondence as may be assigned
    • Maintain a logbook of all correspondence
  • Perform as liaison for incoming and outgoing phone calls and mails
    • Receive, screen, prioritize, and route incoming calls, emails, and mails
    • Determine the urgency of responses required and escalate issues as appropriate
  • Arrange conferences, meetings, and travel reservations
    • Coordinate all meeting logistics and travel, including domestic and international flights, lodging, and ground transportation
    • Create precise and thorough travel itineraries and respond quickly to changes in scheduling
    • Assist with travel reports upon completion of travel
  • Greet visitors and callers, handle inquiries, and direct them to the appropriate officer(s)/staff member(s) according to their needs


Qualifications (minimum):


  • Fluent in English (verbal and written communication)
  • Proficiency in MS Office
  • RSA/Pitman Typing II and Shorthand 80 to 100 w.p.m. and an Associate’s Degree or Diploma in Secretarial Science
  • 5 BGCSE or equivalent
  • Minimum of 3 years of relevant experience in a similar post
